Camps and Clinics

All Camps & Clinics must be conducted in accordance with NCAA, C-USA and UTEP regulations. All of the following forms MUST be completed and prior approval from the Compliance Office is required before conducting a camp or clinic.

Camp/Clinic Compliance Checklist
The Camp/Clinic Director must complete the Camp/Clinic Compliance Checklist for each camp/clinic to be conducted in their sport. One Checklist Form may be utilized for up to four camps/clinics. Upon completion, submit the Camp/Clinic Compliance Checklist, along with all brochures and/or other methods of advertisement for the camp/clinic, to the compliance office for approval.

Off-Campus Camp/Clinic Description Form
The Camp/Clinic Director must complete the Off-Campus Camp/Clinic Description Form for each camp/clinic to be conducted in their sport at a site off of the UTEP campus. The Off-Campus Camp/Clinic Description Form, along with the brochure and/or other methods of advertisement for the camp/clinic, should be submitted to the Compliance Office for approval.

Free or Reduced Admission Roster
Each participant admitted into a camp/clinic for free or at a reduced price must be listed on the Free or Reduced Admission Roster. An explanation as to why the participant is receiving free of reduced admission to the camp must be indicated in the "Fee Explanation" column. If the admission is reduced, list the amount of the deduction. The Free of Reduced Admission Roster must be signed by the Camp/Clinic Director and submitted to the Compliance Office at least one week prior to the start of the camp/clinic.

Student-Athlete Camp/Clinic Employment Agreement The Camp/Clinic Director must review the Student-Athlete Camp/Clinic Employment Agreement with all student-athletes who will be employed at the cam/clinic. The Student-Athlete Camp/Clinic Employment Agreement must be signed by both the student-athlete and the Camp/Clinic Director and submitted to the Compliance Office.

Camp/Clinic Employment List
The Camp/Clinic Director must list the name(s) of each employee who will be employed at the camp/clinic, their current employment status, the pay scale the individual will receive on an hourly or weekly basis, and the duties the individual will perform at the camp, on the Camp/Clinic Employment List. The Camp/Clinic Director must sign the Camp/Clinic Employment List and submit the List to the Compliance Office at least one week prior to the start of the camp.
